Accessing Gage Records

How do I access my certificates of calibration?

By first selecting the “Newest” list under the “Calibrations” dropdown of the Navigation Menu. This will populate a list of all your active gages. From there, simply select the hyperlinked certificate number and this will open a new window with the PDF of the certificate.

How do I access a listing of my gages due for calibration?

By simply selecting the “Due” list under the “Calibrations” dropdown of the Navigation Menu. This will populate a list of all your gages due for calibration in the next month.

How do I access a listing of my gages that are past due for calibration?

By simply selecting the “Overdue” list under the “Calibrations” dropdown of the Navigation Menu. This will populate a list of all your gages due for calibration prior to today’s date.

How do I access all of my historical calibration records?

By simply selecting the “Archive” list under the “Calibrations” dropdown of the Navigation Menu. This will populate a list of all the calibration records on file for your organization.

Adding Records

Can I add gages calibrated by our company or a third party?

Absolutely. You can add gage records calibrated by anyone and receive all of the same great benefits of Metrology360.

How do I add gages to Metrology360?

By selecting the “Add New Calibration” button in the upper left corner (in any of the Calibration views). This will open a new window where you can add the information of that particular gage. You can even upload the certificate, picture or other pertinent documents of the gage from the “Documents & Images” tab.

Please note this will create an entirely new gage record. If you are simply looking to add a new calibration record to an existing gage, please do so by selecting the “+” button in-line with the specific gage record.

Caution: You may not have access to do this, if your company’s Site Administrator has not granted you editing access. Please contact them if you would like to have this changed.

How do I add a new calibration record or a gage already in the system?

By selecting the “+” button in line with the particular gage (in any of the Calibration views). This will open a new window where you can add the information of that particular gage. You can even upload the certificate, picture or other pertinent documents of the gage from the “Documents & Images” tab.

Please note, this is NOT creating a new gage record, simply a new calibration record for an existing gage.

How do I overwrite an existing certificate I added in error?

By selecting the hyperlinked Gage ID (in any of the Calibration views) and going to the “Documents & Images” tab. From here, simply select “Choose File” and upload the correct certificate.

How do I sort for all of my user created gage records?

All user created certificate numbers begin with the letter “X”. By using the Advanced Search option in the upper right corner of any calibration view, you will be able to search for certificate numbers that begin with the letter “X”.

Administration

How do I edit my contact information?

By first clicking the “Administration” tab in the menu and selecting “Edit User” underneath that.

My account defaults to the wrong account. How do I change this?

By first clicking the “Administration” tab in the menu and selecting “Edit User” underneath that. In the lower right corner, you will see an area to select which account to default to.

How do I change my password?

By first clicking the “Administration” tab in the menu and selecting “Edit User” underneath that. You will be able to on this page.

I am a site administrator. How do I edit other user’s permissions?

By first clicking the “Administration” tab in the menu and selecting “User Administration” underneath that. From there, you can check which permissions each user has.

Additionally, you can do so by selecting their name from the list and updating their “Edit User” page.

How do I add a user?

By first clicking the “Administration” tab in the menu and selecting “Add User” underneath that.

We had an employee leave. How do I remove a user?

By first clicking the “Administration” tab in the menu and selecting “User Administration” underneath that. From there, you can do so by selecting their name from the list and selecting the “Remove User” button from their “Edit User” page.

We have an employee taking an extended leave of absence. How do I keep their account, but turn off access?

By first clicking the “Administration” tab in the menu and selecting “User Administration” underneath that. From there, you can do so by unchecking the “Metrology360 Website Access” permissions.

Calibration Views

How can I filter my calibrations to find specific gages?

There are multiple options. The first option we provide is a quick search function at the top of the listings.

The second, more powerful option is the “Advanced Search” button in the upper left corner of any Calibration View. This function allows you to sort for any piece of information.

How can I sort my gages?

By toggling the header on the top of each column.

Can I export my gage list?

Yes, by selecting the download button from any Calibration View. This will export all of the data visible on the current settings. You can export into the following formats:

  • Excel
  • CSV
  • Word
  • PDF
  • HTML
  • XML

Can I view the NIST traceability of each calibration?

Yes. This is visible by selecting the Traceability button, underneath the “Actions” header.

You will be able to explore all of the equipment used to calibrate your instrument, ensuring that each calibration meets all ISO 9001 and 17025 standards.

Can I quickly view the calibration history of each gage?

Yes. This is available in two places.

The first, more visual option is via the “Gage Wear Analysis” function, accessible from the button located under the “Actions” tab. This provides you with a graphical view of the wear of a gage over time.

The second, more data-filled option, is via the “Gage History” tab, accessible by selecting the Gage ID. This listing will provide you with all historical certificates of a gage.

Can I add or remove columns from my calibration view?

Absolutely. This is accessible via the “Customize Grid” option under the “Calibrations” dropdown of the Navigation Menu.

How do I download multiple certificates at one time?

By selecting the checkbox in line with the gage record and selecting the download button. This can be done either manually, or by selecting “Check All On Page” to speed up the process.

Can I print calibration labels from Metrology360?

Yes. This is done by selecting the label icon in line with the specific gage from any of the Calibration Views.

By doing so, this creates a PDF of the label to your specified size. The label even updates if you have changed any information (such as Calibration Due Date). You can then print this to any label printer you choose.

If you do not own a label printer, please contact us today to receive a quote.

Can I add an impact study to a failed gage?

Yes. If a gage is received out of tolerance, an icon will appear. By selecting this icon, you will be able to upload a PDF of your impact study. This will be stored securely in-line with the specific gage and can be accessed by selecting the PDF icon that will appear once uploaded.

I am required to review my calibration certificates. Is there a way to do this easily?

Yes. In line with each gage, you will see an option to review the certificate. By selecting this option, and following the steps, the certificate will automatically regenerate, with a timestamp watermark.

Can I add or remove columns from my calibration view?

Can I save a custom view so I don’t have to set up the view each time?

Yes. This can be done using the “User Reports” option under the “Calibrations” dropdown in the Navigation Menu.

How do I rearrange the order the columns are in?

Via the “Customize Grid” option under the “Calibrations” dropdown of the Navigation Menu. Simply click and drag into the order you prefer.

Can I change the standard headings in the calibration views?

Yes. This is accessible via the “Customize Grid” option under the “Calibrations” dropdown of the Navigation Menu.

E-crib

How do I check a gage out to an employee?

This can be accomplished by selecting the “E-Crib” tab in the menu and selecting “Checkin/out” underneath that.

In the new window, enter the gage ID in the top left corner. This can process be sped up by using a scanner (request a quote).

Following this, enter all of the pertinent information and select “Checkout”.

How do I check a gage back in?

This can be accomplished by selecting the “E-Crib” tab in the menu and selecting “Checkin/out” underneath that.

In the new window, enter the gage ID in the top left corner. This can process be sped up by using a scanner (request a quote).

Following this, enter who the gage was received from and select “Checkin”.

How do I view a gage’s check-in/check-out history?

By selecting “E-Crib” from the menu and selecting “History” underneath that.

What is a gage’s usage history good for?

Quite a few things. First and foremost, it helps you find a gage when you need to use it elsewhere or recall it for calibration.

Secondly, it helps create accountability, by having a user’s name attached to the gage each time it is checked out. Now, when a gage is lost or destroyed, the person at fault can be identified.

Next, it creates a tracking system of which projects each gage was used, allowing for easy analysis of impact from an out of tolerance gage.

Finally, and most importantly, it allows for easy analysis of wear patterns. Simply track over time how many uses a gage has, on average, before it falls out of tolerance. This will allow you to become significantly more proactive about the money you are spending on your calibration program.

Editing Gage Records

How do I edit a gage record?

By selecting the hyperlinked Gage ID (in any of the Calibration views) and editing the pertinent information. Please note, you may not have access to do so, if your company’s Site Administrator has not granted you editing access. Please contact them if you would like to have this changed.

What information can I edit?

Pretty much anything you would like, except for the calibration findings themselves. Some common pieces of information edited are:

  • Location
  • Sub Location
  • Calibration Due Date
  • Calibration Cycle
  • Gage Status

How do I get a new certificate or label once I edit any information?

Luckily, this is incredibly easy. Metrology360 automatically regenerates any certificate or label that is edited.

You can access the new certificate by selecting the hyperlinked Certificate Number next to the gage record that was recently updated.

You can access a new label simply by selecting the printer icon next to the Certificate Number.

How do I remove a gage that failed calibration or is lost?

By selecting the hyperlinked Gage ID (in any of the Calibration views) and changing the Gage Status field to “Inactive”. This will move this gage record to the “Archive” Calibration view.

Can I edit a large number of gages in bulk?

Yes. Simply contact your local representative with an Excel file of any changes that are needed. You must have the following list of fields in the spreadsheet:

  • Gage ID
  • Old Value (i.e. “Old Location”)
  • New Value (i.e. “New Location”)

Can I add custom fields to a gage?

Yes. This is accessible via the “Customize Grid” option under the “Calibrations” dropdown of the Navigation Menu.

From this screen, you will be able to add the following field types:

  • Text (100 character max, sortable, custom text)
  • Memo (Unlimited characters, not sortable, comments or notes)
  • Number (Sortable)
  • Date (Date and time, sortable)
  • Boolean (True/false check box)

What types of documents can I add to a gage record?

Any PDF. Some common examples:

  • Calibration Certificates
  • Pertinent Drawings
  • Pertinent Documents
  • Gage R&R Reports
  • Impact Studies
  • Operating Procedures
  • Any Other Pertinent Information…

Any image (JPG). Some common examples:

  • Picture of Gage
  • Picture of Storage Location
  • Picture of Damage

General

How secure is my data?

Very secure. Fox Valley Metrology backs up all data nightly, across 5 servers. Additionally, we employ a third-party file storage party for the ultimate in data security.

Is there any concern with my company’s server being hacked?

No. All data transmission is one way and the software is hosted on our server. In other words, there is zero concern of our software causing issues for your IT Department.

How long do you store our records?

For a minimum of 10 years.

Is Metrology360 compliant with FDA 21 CFR Part 11?

Yes. Please contact your local representative to receive a copy of our software validation form.

If we stop doing business with Fox Valley Metrology, will we have access to our data?

Absolutely. Your data is your data, not ours. Your site will always remain active forever.

Invoices

Can I view all open invoices directly from Metrology360?

Yes. Simply select the “Invoices” tab from the menu.

Onsite Calibrations

Can I request an on-site directly from Metrology360?

Yes. Simply select “Schedule Onsite” tab from the menu and complete the form.

Order Status

How do I view the status of my orders?

Simply select the “Order Status” tab from the menu. Expand the job in question and explore every piece of information such as:

  • Date Recieved
  • Gages Recieved
  • Repair Information
  • Open Quotes
  • Third Party Expected Delivery Dates
  • Shipping Information

Packing Slips

Can I create a packing slip in Metrology360?

Yes. This is found in the “Packing Slip” dropdown of the Navigation Menu. Simply select “Create” and it will open a new screen where the gages are entered.

What are the advantages of using the Packing Slip function in Metrology360?

  • Reduces error (typos)
  • Speeds up entering gages
  • Helps us discern any discrepancies
  • Pre-queues the job in our workflow

What are my options for populating a packing slip?

There are three main options:

  • Manually typing each gage into the “Gage ID” box (not recommended)
  • Adding gages from a list
  • Using a scanner in conjunction with the 2D barcodes on each of our calibration labels

Can I use the packing slip function to ship gages somewhere other than Fox Valley Metrology?

Yes. Simply use the “Ship From” and “Ship To” fields at the top of the page.

Can I view old packing slips?

Yes. Via the “History” option under the “Packing Slip” dropdown in the Navigation Menu.

Can I edit saved packing slips?

Yes. You can delete and edit packing slips via the “History” option under the “Packing Slip” dropdown in the Navigation Menu.

Quotes

Can I request a quote directly in Metrology360?

Yes. This is found in the “Quote” dropdown of the Navigation Menu. Simply select “Request” and it will open a new screen where the gages are entered.

Can I view all my quotes in Metrology360?

Absolutely. This can be accessed by selecting the “Quotes” tab in the menu and selecting “History” underneath that.

Can I approve or deny quotes in Metrology360?

Yes! Never worry about emailing or calling to manage quotes again. This can be accessed by selecting the “Quotes” tab in the menu and selecting “History” underneath that.

Simply find the quote in question and hit “Approve” or “Deny”.
